SBW Raptors – Terms & Conditions for Falconry Displays & Experience Session Bookings
These Terms & Conditions ("Terms") apply to all bookings made with SBW Raptors for falconry displays at events and private experience sessions. By confirming a booking, the Client agrees to be bound by the following terms.
1. Bookings and Deposits
A booking will be confirmed upon receipt of a non-refundable deposit equal to 50% of the total booking fee. The remaining balance must be paid no later than 14 days prior to the event or experience, unless otherwise agreed in writing.
Bookings made within 14 days of the scheduled date must be paid in full at the time of booking.
2. Travel Expenses
Travel costs may apply depending on the location of the event or experience. Any additional travel charges will be agreed with the client at the time of booking and included in the quotation.
Where overnight accommodation is required, this will be discussed and agreed in advance.
3. Weather Conditions
Public Displays and Events
The welfare of our birds is our highest priority. Flying demonstrations are subject to suitable weather conditions. In the event of adverse weather conditions, including but not limited to high winds, heavy rain, thunderstorms or extreme temperatures, SBW Raptors reserves the right to modify or cancel the flying element of the display.
Where flying is not possible, an alternative educational presentation featuring the birds, including talks, demonstrations and question-and-answer sessions, will be provided. No refund will be due where an alternative presentation has been delivered.
Private Experiences
Private experiences are also subject to suitable weather conditions. If weather conditions make it unsafe or unsuitable for the birds to fly, the experience will be postponed and rescheduled to a mutually convenient date. No additional charge will be made for the rescheduled session.
4. Animal Welfare
The health and welfare of the birds are paramount. SBW Raptors reserves the right to alter, shorten or cancel any display or experience if deemed necessary for the safety and wellbeing of the birds, staff or participants.
No bird will be flown or handled in conditions considered unsuitable by SBW Raptors.
5. Client Responsibilities
The client is responsible for providing:

A safe and suitable venue.

Adequate access for vehicles and equipment.

Any permissions or licences required for the event.

Information regarding hazards, restrictions or activities that may affect the birds or handlers.

Suitable crowd control arrangements where appropriate.
SBW Raptors reserves the right to refuse to fly birds in unsafe or unsuitable conditions.
6. Health and Safety
SBW Raptors operates in accordance with current health and safety legislation and risk assessment procedures.
Clients and participants must follow all instructions given by SBW Raptors staff. Failure to do so may result in the suspension or termination of the display or experience without refund.
Children under the age of 16 must be supervised by a responsible adult at all times.
SBW Raptors reserves the right to remove any person whose behaviour is deemed unsafe or disruptive.
7. Public Liability Insurance
SBW Raptors maintains appropriate public liability insurance for its activities.
Copies of insurance certificates and risk assessments can be made available upon request.
8. Cancellations by the Client
More than 28 days before the event
Cancellation will result in the loss of the 50% deposit only.
Between 14 and 28 days before the event
75% of the total booking fee will be payable.
Less than 14 days before the event
100% of the total booking fee will be payable.
Rescheduling requests may be accommodated at the discretion of SBW Raptors and subject to availability.
9. Cancellation by SBW Raptors
In the unlikely event that SBW Raptors is unable to fulfil a booking due to illness, injury, emergency circumstances or other unforeseen events, every reasonable effort will be made to rearrange the booking.
Should rearrangement not be possible, all monies paid by the client will be refunded in full. SBW Raptors shall not be liable for any additional costs or consequential losses incurred by the client.
10. Force Majeure
SBW Raptors shall not be liable for any failure or delay in performing its obligations where such failure or delay arises from circumstances beyond its reasonable control, including but not limited to:

Severe weather conditions;

Natural disasters;
-
Road closures or transport disruptions;
-
Government restrictions;
-
Acts of terrorism;
-
Pandemics or public health emergencies;
-
Other unforeseen circumstances.
11. Limitation of Liability
SBW Raptors shall not be liable for any indirect, consequential or financial losses arising from the cancellation, alteration or interruption of any event or experience.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or any liability which cannot be excluded under applicable law.
12. Photography and Marketing
Photographs and videos may be taken during events and experiences and may be used by SBW Raptors for promotional, educational and marketing purposes, including on social media and websites.
Clients who do not wish images of themselves or their guests to be used should notify SBW Raptors in writing prior to the event.
Professional photographers and media representatives attending an event should obtain permission from SBW Raptors before photographing or filming the birds.
13. Intellectual Property
All photographs, videos, logos, branding materials and content produced by SBW Raptors remain the property of SBW Raptors unless otherwise agreed in writing.
No images or recordings may be used for commercial purposes without prior permission.
14. Acceptance of Terms
Payment of the booking deposit constitutes acceptance of these Terms and Conditions.
SBW Raptors reserves the right to amend these Terms and Conditions at any time.
The version in force at the time of booking shall apply.
